Why Live Calligraphy is the Most Fun Activation for Corporate Holiday Parties
A peek inside how live calligraphy works, what to expect when you book me, and which activation will wow your guests
If you are planning a holiday party in St. Louis and want an experience that feels personal, elevated, and genuinely fun for guests, I would love to be your calligrapher. I am Emma Vonder Haar, a St. Louis-based modern calligrapher and lettering artist, and live event work is truly one of my favorite things to do.
Over the past decade I have worked with brands like Louis Vuitton, Kendra Scott, Anheuser-Busch, and lululemon to provide live calligraphy services throughout the greater St. Louis area. Whether you have a fully formed vision or just a vague idea of what you want, I love collaborating to figure out what is going to land best with your specific crowd.
This post walks through everything you need to know about booking live calligraphy for a holiday event, what the process looks like when you work with me, and which activation format might be the perfect fit.
Why live calligraphy is such a hit at holiday parties
Live calligraphy works for almost every holiday event format, and I have seen it bring so much energy and warmth to gatherings of all sizes. It is interactive without being loud. It gives guests something to gather around, talk about, and photograph. And it produces a handcrafted keepsake that people actually hold onto, not another branded item that gets forgotten in a drawer.
A calligraphy station becomes a natural hub of excitement at your event. Guests gather to watch, chat with each other, and walk away with something personalized and beautiful. It adds a layer of delight that keeps the energy going all night long.
Half-baked ideas are genuinely welcomed. Some of my favorite events have started with a client saying "I don't totally know what I want, but..." and we figured it out together.
From a planning perspective, calligraphy activations are also just easy to pitch to clients. They photograph beautifully, they feel luxurious, and they fit comfortably within a mid-range event budget.
What it’s like to work with me
My goal is to make the whole experience as easy as possible for event planners. I bring everything: all my lettering supplies, calligraphy tools, and engraving equipment arrive with me. All I need from you is a table, a chair, and any items you want personalized if you are sourcing those yourself.
Here is how it typically goes: you reach out with your event date and a general idea of what you are thinking. I confirm availability, we talk through the concept and refine it together, and I send you a customized quote within 24 hours. From there we lock in the details and I handle everything on my end leading up to the event.
I have worked across a huge range of event formats over the years, so I am comfortable reading a room, managing a guest line, and keeping things running smoothly without needing a lot of hand-holding from the planning team on the day of. My job is to make you look good.
How to reach me: Fill out the inquiry form or email me at emma@emmavonderhaar.com. Holiday season fills up fast, so I recommend reaching out at least 6 to 8 weeks before your event, and 10 to 12 weeks out for anything in November or December.
A few ideas for your holiday event
One of the first things we will figure out together is which type of activation makes the most sense for your event. Here are the formats I love most and what makes each one work.
Ornament pop up bar: Guests get a glass, acrylic, or ceramic ornament lettered with their name or a custom message. This is my most popular holiday activation and honestly one of my favorites too. Fast, meaningful, and guests bring them out every single year.
Gift tag and card station: I address or personalize branded holiday cards and gift tags on the spot. Perfect for corporate gifting events where you want a handcrafted touch that makes every guest feel thought of.
Cocktail glass engraving: I use a portable engraving tool to letter guests' names into champagne flutes or glassware. It’s the perfect personalized item that doesn’t scream holiday party but can be reused in everyday life.
Branded item personalization: I letter guests names on branded items like tote bags, luggage tags, steins, or other giveaway items. This works especially well for themed parties, as the item can be matched to the theme!
Good questions to ask any calligrapher before you book
Whether you are booking me or someone else, here is what I would want to know if I were in your shoes:
What is your minimum booking length and how do you structure pricing?
Do you supply materials, or does the client source the items to be personalized?
How many guests can you realistically serve per hour with this activation?
Do you carry liability insurance? Some venues in St. Louis require it.
What do you need for setup in terms of table size and lighting?
Can you provide a sample on the specific surface we are using?
Have you worked events of this size and format before?
I am happy to walk through all of these when we connect. No question is too small, and I would rather over-communicate than have anything feel uncertain on the day of your event.
What does live calligraphy cost for a St. Louis holiday party?
Pricing depends on the activation type, how many hours you need, and whether I am sourcing materials. Here is a general range to help with budget planning:
Due to high demand during the holiday season (November and December), I have an $800 (4 hour) event minimum
$800 to $1,200: 4-6 hours, most corporate holiday parties
$1,500 and up: full-day or premium brand activations
For larger events, I bring along an assistant to help manage volume and ensure every guest is taken care of. Reach out through my inquiry form and I will put together a custom quote for your specific event!
A few tips for setting up the station so it runs beautifully
Strategically plan location. I love being near the bar or cocktail area where guests are already naturally pausing and mingling. Make sure the station is visible from across the room so people discover it on their own. A spot that is easy to see but not blocking any doorways or main flow paths is ideal.
Ensure adequate lighting. If there are concerns about the venue lighting, I’m happy to bring along a small task light. I need decent task lighting to letter accurately and consistently, especially in dim holiday party atmospheres. A small LED lamp at the station makes a big difference for my work and also makes everything more photogenic for guests snapping pictures.
Help guests with simple signage. A simple framed card explaining what I am doing keeps the line orderly and sets expectations. Displaying a few finished samples nearby builds excitement before guests even step up. For larger events, I bring along an assistant to to collect names and manage the queue, which helps me focus on the lettering and keeps things moving faster.
Build some buzz! Mention the live calligrapher in your event invite or pre-event email. It gives guests something to look forward to and means the excitement starts well before anyone walks in the door.
Corporate events, private parties, and brand activations
For corporate holiday parties, I love tying the activation into the brand. Think company colors, a brand phrase, or a logo element woven into the keepsake design. My work with Lululemon and Famous Footwear are great examples of how a calligraphy station can become a full brand moment that guests talk about long after the event. Many companies also use the personalized pieces as social content with a branded hashtag, extending the reach of the event well beyond the night itself.
For private holiday gatherings, it is all about warmth and connection. Ornament lettering, custom place cards, and hand-lettered menus create a handcrafted atmosphere that makes guests feel genuinely celebrated. I love these events because there is more time to slow down and really connect with each person.
For retail pop-ups and brand activations around St. Louis, live calligraphy is one of the best tools for driving foot traffic and creating shareable moments. Guests linger longer, tell their friends, and post about it. It is marketing that feels like a gift.
