I had a guest come up and tell me he'd asked the bartender "what kind of booze are they serving over there?" because the line was packed all. night. long.

How Does Live Calligraphy Work at Corporate Events?
St. Louis event planner Vivant Entertainment reached out with a referral for calligraphy services from the Post-Dispatch team. They were looking into corporate swag personalization for standard branded items and were curious about adding a live personalization station to their upcoming event.
After a few emails to confirm availability and the item to be personalized, the Post-Dispatch team shared links to the notebooks they were thinking of ordering. I gave my opinion on what material I thought would work best for live personalization, and they ordered. When the notebooks came in, they couriered a few to my studio for a material test. As a live event artist, I always offer (and prefer) to do a material test ahead of the big day, so no surprises come up on-site.
In this case, a great surprise came up in the material test itself!

Originally, we were planning on a standard lettering personalization with an oil pen in either gold or white to complement the navy notebooks. But once I had the material in hand, I had a hunch the covers would look even better with hot foil, something I hadn't thought would be possible based on the specs alone.
I tested it by laying a piece of heat-activated foil over the material and press in the letters with my heat pen. Notebook hot foiling isn't something every corporate event calligrapher offers, but once I saw it on this navy stock, I knew it was the right call. It foiled beautifully, and I was thrilled!
After a quick confirmation with the Post-Dispatch team to ensure I could have access to an outlet at the event (the only setup change for hot foil over classic oil pen lettering), we were in business.
Why Hot Foil Personalization Is My Go-To for Corporate Activations
I typically recommend hot foil personalization over standard lettering whenever possible for corporate events. For an activation like this one, where I knew it would be a quick turnover of personalized items, I wanted to make sure there was no dry time (a huge perk of hot foil) so guests could take their items immediately. I wanted a metallic finish that an oil pen simply can't replicate, and gold foil on navy notebooks delivered exactly that. Best part for my client: no added cost, no additional work on their end.

Prepping for the Event
To prepare, I pre-cut strips of foil based on the estimated guest count and packaged them up ahead of time, so I could get guests through the line quickly without stopping to cut foil mid-activation. I prepped a sample to keep on the table (one of the notebooks the team had couriered before the event). I checked in with the Post-Dispatch team to offer a small menu of choices to keep the flow moving: first name, initials, or business name, since so many businesses were receiving awards that night.
All I need at an event is a 6' table and access to a power source, so setup was quick. I plugged in my heat pen (it takes about 2-3 minutes to fully heat up) and I was ready to go.
The Activation That Draws a Crowd
Guests started trickling in, then the trickle turned into a line that didn't let up for the rest of the night, which is exactly the outcome you want from a corporate happy hour activation. Word spreads fast at an event like this: one guest gets their name foiled onto their notebook, shows it to a coworker at the next table, and within minutes there's a crowd!
By the end of the night, I'd hot foiled over 130 notebooks in two and a half hours. For an activation with three name options and a single artist working solo, that's a guest nearly every minute, without a single guest walking away with wet ink or a rushed result.
The Final Product
This activation took about thirty seconds per personalization. It usually takes guests longer to decide if they want their name or initials than it does for me to write them!
